Office Administrator – Salisbury, Wiltshire (Permanent)
 
Our client is currently looking for an Office Administrator to join their busy team in Salisbury, Wiltshire. We are looking for someone who has Administration experience and someone who is computer literate with a great telephone manner. Our client is offering a competitive salary, standard working hours (Monday to Friday) and a permanent contract.
 
As an Office Administrator your duties will include:
 
General Administration Duties:
  • Keep an accurate up to date Asset Register and Tool Log.
  • Arranging of company events and social outings.
  • Dead filing
  • Arrange servicing and MOTs of company vehicles
  • Ensuring vehicle maintenance forms are issued to and returned from company drivers
  • Managing vehicle tracker system; issues/new installations
  • Assist with vehicle insurances and renewals, dealing with accident insurance claims
  • Ordering of office IT/furniture working within budgets
  • Maintaining fire extinguishers, testing of emergency lighting & fire alarm.
  • Maintain sign in/out key book
  • Maintain printers/copiers
  • Scan and copy documents as required
  • Assist with IT problems by Liaising with IT support company
  • Take and distribute accurate messages
  • Organising PAT testing of site and office equipment, including calibration.
  • General administration duties as required
  • Designing and sending invites to corporate events
  • Organising and managing databases
  • Organise staff training: SSST, Face Fit, IOSH, Asbestos Awareness, Trade qualifications, CSCS
  • Assist with onsite labour requirements
  • Quarterly Newsletter and distribution
  • Manage office/premises
    • Building alarm system
    • General Building maintenance, signage, aircon, alarms, boiler, etc
    • Office cleaner
    • Waste bin contracts/emptying
    • Manage telephone system, calls package, broadband
Contract Administration Duties:
  • Assisting Project Managers with quotes/pricing orders.
  • To provide support to Project Managers and Site Staff when required.
  • Monitor the Contract Files are being maintained
  • Monitoring, ordering, issuing and recording of PPE and issue and issue and recording of uniforms to staff

  • Previous Office Administrator experience
  • Use of Microsoft Office
  • Internet skills including use of email and group messaging
  • Good standard of written and verbal skills
  • Good numeracy skills
  • Great telephone manner
  • Self-motivated and great attention to details
  • Prepared to be flexible in approach to workloads
