An immediate opportunity is now available for an Office Manager to join a market leading organisation located in Salisbury, Wiltshire.

This is a permanent contract supporting the Group Facilities Manager to effectively and efficiently manage the office.

In this position, you will:

  • Be the first point of escalation for all  H&S and facilities issues and support with the wider Group requirements.
  • Centrally manage all records for statutory compliance, PPMs, H&S audits, invoices, and building information i.e. floor plans, desk utilisation, asset lists. 
  • Assist in creating a database for Group facilities policies and procedures and maintaining on a regular basis.  
  • Overseeing the management and distribution of the incoming and outgoing post. 
  • Arranging couriers as and when required. 
  • Maintaining supplies of company amenities. 
  • Recording, updating and maintaining records in relation to external storage providers.  
  • Check all invoices and chasing correct paperwork for final sign off for payment.
  • Monitor all group procedures, chasing sites for weekly and monthly checks. 
  • Maintaining records and issuing passes to those visiting the site. 
  • Deputise in the absence of the Group Facilities Manager.
  • Administer travel bookings and hotel reservations, in line with company policy, as required. 
  • Produce monthly reports on Group spend, statutory compliance, reactive maintenance and supplier performance KPIs. 
  • Create great first impressions of the company by dealing with all enquiries in a professional and courteous manner, in person, on the telephone or via email. 
  • Be the H&S coordinator for DSE, Fire Marshalls, First Aid within the Salisbury office and supporting the wider Group, where required. 

 

If this sounds great, here’s what experience we are looking for:

  • Basic understanding of Health and Safety legislation, with a qualification in Health and Safety, desirable.
  • Takes responsibility for own actions and making decisions. Remains calm and composed in challenging situations, demonstrates resilience and tenacity. Proactively maintains, develops and improves own technical competence and core skills.  
  • Extensive use of MS Office.
